Using iPhone with business email - Advice required

OK so I have recently been converted to the iphone way of thinking.
The phone is good (despite poor camera and no video camera) and internet access is also very good.
The issue I have is that I'd like to use the phone as a portable pda type of handset.

Initially I thought I might be able to use the handset with remote access through online providers such as logmein.com or gotomypc.com who use cisco. However I have been told that the iphone wont run java programs so that's out.
Someone suggested the iphone as having Microsoft exchange capability to link in with Microsoft Outlook 2003. This sounds great but I don't know how it works.

I'll give you guys the background and you tell me if the iphone will help.
I run a business part time from home around my day job. It's web based and I need email access to do my work as it has a lot of customers service done through email (as well as orders taken via paypal are notified via email).
OK my business runs via it's own URL and the emails are all POP based (no IMAP) therefore everything is stored on my business laptop.

What I wanted to ideally do is remote access my laptop through the iphone but have since discovered this isn't possible.
So what would be my best option? I could use the Microsoft exchange server but I don't really know how that works. Is it a programme that runs on my laptop or does it need to be stored on a server?

I'd like to use the iphone as a mobile business centre that I can take with me, even if I need to have my laptop powered on in my office and running for it to function. However is there a better way and how is it done?

I hope the above makes sense

you can set up your iphone to read your pop3 server without removing the messages from the server
no need to buy exchange

Thanks for this. I do have more questions though.
What about any reply I might send? How would I get that to my laptop?

Also another issue I have is that some of my addresses get over 100 spam emails a day, which i currently combat using SPAMfighter Pro. if I just had the iphone download my mail using POP I'd also get the spam along with it.

If I was you I'd wait for the Blackberry Bold. It will do all the iPhone 3G does without any of its failings or omissions.

Yeah the bold looks good but it's not a touch screen, which is something I think is great and the iphone have the market sewn up on that.

Literally it's just the emails that are the issue with the iphone. If the iphone allowed java programmes to function on the handset I would get one today as it would then obviously run a remote access solution for me.

Believe it or not a touchscreen interface may not be the most user-friendly when it comes to email. Also don't forget the iPhone does not allow copy and paste.

Copy and Paste is coming in firmware 2.1.

You can also use VNC over the iPhone. I've got the app myself and it actually works incredibly well. I was remoting to one of our servers from the train earlier today over VPN.

iPhone or not, if you're going to be accessing your email on more than one device, why not just sort out imap for it?

Set up IMAP through googlemail and forward your work emails to that address. Set your reply to address as your work email and that should be problem solved...i think

Just set your mail account on your iphone to bcc/cc you with every email you send. They will end up in your inbox and you can keep a record of that.

IMAP will only sync emails, and The iphone does not support "push-IMAP" from anyone other than yahoo.

Microsoft exchange is the best way to use your iphone and laptop together, because it will sync your contacts, email, calander & tasks between your iphone and laptop, instantly. So, if you add a new contact to your iphone, it will instantly be in Ms Outlook on your PC.

To setup exchange you will need a exchange account, you can get a free one here: http://services.mail2web.com/FreeServices/m2wLive/

When you have created the exchange account, you will need to delete your existing email account from outlook, and setup your existing email provider to forward emails to your exchange email address (yourname@mail2web.com).

You can then change the "reply-to" address in exchange (login to exchange webmail, then press settings), so that emails you send from your laptop & iphone don't appear to come from @mail2web.com

After you have done that, you just need to setup outlook & the iphone to use the exchange server, the settings for the iphone are also in the webmail, under 'settings' press "view activesync settings" and put those details into your iphone. They also have a "auto setup" file for outlook, which you can just download and it will put all the connection details into outlook for you.
